Privacy Policy
- Your billing records and local database stay on your device (your computer or phone). The App does not upload them to us or to anyone else.
- The local billing features contain no advertising, analytics or tracking. Optional website, support or cloud sign-in actions open separately and do not upload the local billing database.
- Everything you enter stays in files on your device that you control. You can back it up, export it or delete it at any time.
- If you choose to contact us for support, we use what you send only to help you.
1. Who we are
UNM One Billing (the "App") is published by Mehul Bheda, carrying on business as a sole proprietorship under the name UNM Consultant, with its principal place of business at Office No. 18, 2nd Floor, Jaya Industrial Estate, Carter Road No. 3, Borivali East, Mumbai 400066, Maharashtra, India ("UNM One", "we", "us"). This policy explains how personal data is handled when you use the App. It is intended to address the Information Technology Act, 2000 and applicable rules, and the Digital Personal Data Protection Act, 2023 and Digital Personal Data Protection Rules, 2025 as their relevant provisions come into force and apply to us.
2. What this policy covers
This policy covers the UNM One Billing app for Windows, whether installed from the Microsoft Store or from an installer we provide, and the UNM One app for Android installed from Google Play. It does not cover:
- the Microsoft Store itself, which Microsoft operates under the Microsoft Privacy Statement;
- Google Play and your Google account, which Google operates under the Google Privacy Policy;
- UNM One online or cloud services. They have or will have a separate privacy notice describing the cloud data they process. Signing in to a cloud service does not by itself upload the local billing database.
3. Information the App stores on your device
To produce invoices and records, the App stores the information you type into it. This includes:
| Category | Examples |
|---|---|
| Your business details | Business name, address, GSTIN, PAN, state, mobile number, email, logo, jurisdiction, invoice preferences |
| Your customers and consignees | Names, addresses, GSTINs, states, mobile numbers, email addresses, contact persons |
| Items and services | Descriptions, HSN/SAC codes, units, rates, GST rates |
| Bank details you choose to print | Bank name, account holder, account number, IFSC, branch |
| Documents and records | Invoices, quotations, credit and debit notes, delivery challans, drafts, cancellation reasons, terms and conditions |
| Audit log | A record of changes you make in the App, with date and time, kept to protect the integrity of your records |
| App preferences | Settings such as whether to show the welcome screen |
On Windows, this information is saved in local database files inside your Windows user profile. On Android, it is saved in the App's private storage on your phone, which other apps cannot read. Each business you set up has a separate file. We never receive this information and have no way to access it.
4. Information we do not collect
On Android, the only permission the App uses is internet access, and only for the optional website link and cloud sign-in. It does not ask for your location, contacts, camera, microphone, photos or phone storage. When you save an invoice PDF or an Excel file, Android's own "save to" screen lets you choose where it goes, and the App can write only that one file.
The App does not collect, transmit or share:
- usage analytics, telemetry or tracking data;
- device identifiers, location or contacts;
- advertising identifiers. The App shows no third-party advertising;
- cloud passwords or authentication secrets. Optional cloud sign-in is handled by the cloud service in a separate, secure flow; the local billing database does not store a readable cloud password.
The App's welcome screen describes other UNM One products. This is information about our own products, it is not personalised, and nothing is sent to us when you view it.
5. Information you may choose to send us
If you contact us for support, you may send us your name, email address or phone number and a description of your issue. You may also choose to send screenshots, exported files or backup files. We use this only to respond and to fix problems. We keep it for up to 24 months after your request is resolved, unless the law requires us to keep it longer, and then we delete it. Please remove or mask customer details before sending us files, unless we specifically need them to solve your problem.
6. Information handled by Microsoft and Google
If you get the App from the Microsoft Store, Microsoft processes your Store account, download and payment information under its own privacy statement. Depending on your Windows diagnostic settings, Microsoft may share anonymised or aggregated reports with us through Partner Center, such as install counts, ratings and crash reports. These may include technical details about the failure. We use them only to improve the App's stability. We do not use them to identify you.
If you get the App from Google Play, Google processes your Google account, download and payment information under the Google Privacy Policy. Google may share aggregated reports with us through Google Play Console, such as install counts, ratings, and crash and stability reports that may include technical details about the failure. We use them only to fix problems and improve the App.
If backup is turned on for your Google account on your phone, Android may include the App's data in your phone's backup, which Google stores encrypted in your own Google account so that you can restore it on a new phone. We cannot access this backup. You can turn it off in your phone's settings (usually Settings > Google > Backup).
7. Your responsibility for your customers' data
When you enter your customers' personal data into the App, you decide why and how it is used, so you are the Data Fiduciary for it under the Digital Personal Data Protection Act, 2023. UNM One provides the software but does not process that data on your behalf. You should:
- collect and use customer data only for lawful purposes such as billing and statutory records;
- keep it accurate and up to date;
- protect your computer, phone and backups from unauthorised access;
- keep records only as long as the law or your business needs require. GST law generally requires accounts and records to be kept for a prescribed period; confirm the current period with your tax advisor;
- respond to requests from your customers about their data.
8. Security
The App keeps your records in transactional databases on your device, validates important records before saving, keeps an audit log of changes, and can create and restore verified backup copies. A pre-restore safety backup is made automatically before a restore. Because the data is on your device, its safety also depends on you. We recommend that you:
- protect your Windows account with a strong password or Windows Hello, and your phone with a screen lock (PIN, pattern, password or fingerprint);
- turn on device encryption or BitLocker;
- store backup files on a separate, secure drive or encrypted cloud storage;
- keep Windows or Android and the App updated.
We cannot recover data that is lost, deleted or damaged on your device. We have no copy of it.
9. Keeping and deleting your data
Your data stays on your device until you delete it.
Important: when the Microsoft Store version of the App is uninstalled or reset, Windows removes the App's working databases. Backups created in the App are saved to Documents\UNM One\Backups, and exports go to your Documents folder or another folder you choose; these are not removed on uninstall. Create a fresh backup before you uninstall or reset the App.
To remove all data permanently, uninstall the App and delete any backups and exports you have made, after keeping any copies the law requires.
On Android: uninstalling the App or clearing its storage deletes its working databases and any backups created inside the App. Invoice PDFs and Excel files you saved to a place you chose (for example Downloads or Google Drive) are not removed. If Android backup is on for your Google account, a copy may remain there (see section 6).
10. Children
The App is a business tool meant for use by adults. It is not directed at anyone under 18, and we do not knowingly process children's personal data.
11. Your rights
For any personal data we hold about you, such as support messages, you may ask us to:
- tell you what we hold and how we use it;
- correct, complete or update it;
- erase it, unless we must keep it by law;
- nominate another person to exercise these rights if you die or become unable to.
Write to our Grievance Officer (section 12). We will respond within the time required by law, and in any case within 30 days. If you are not satisfied with our response, you may complain to the Data Protection Board of India once it is operational for your matter.

13. Changes to this policy
We may update this policy, for example when we add online features. We will post the new version at this address with a new effective date. If a change means your data will leave your device, we will ask for your consent in the App first. Nothing will be sent until you agree.
